Moving, Insurance Requirements, Scheduling Policy

Insurance Requirements

All Tenants and Contractors must provide and deliver a Certificate of Insurance to the Property Management Office at least 5 days prior to any project.  The contractor must, at its sole cost and expense, obtain, maintain and keep in full force and effect insurance as described below. 

The Property Management Office will refuse to allow access if the limits on the certificate do not meet the following criteria:

MOVING

 

All tenant, contractors, vendors, or moving into, out of, or within the building must be coordinated with the Property Management Office. Notification should be made as far in advance as possible and should include the proposed moving date, name of moving contractor, any on site personnel, estimate time to begin the project, and any details associated with this project.

An authorized tenant associate or contractor must contact the Property Management Office to coordinate insurance certificate submission and ensure the use of a designated freight elevator.  

The Property Management Office must be advised in writing of any special requirements in correction with your move. This paperwork should be on file at least 72 hours before a scheduled move and must be accompanied by the Certificate of Insurance (specific to the property) and the Authorized Activity Report on file. Please submit any special requirements in connection with the move in writing. 

 

 SCHEDULING ACCESS  (for Large or Bulk Items)

 

If you are planning to have items delivered, relocate, or move (within, around, into, or, out of the building must schedule this action completed before 7:00 am or after 6:00 p.m. on weekdays or anytime on weekends.

Small projects are permissible during normal business hours ( Monday – Friday from 7am – 6pm)  for FedEx, UPS, DHL, office supplies, and catering that do not exceed 20 minutes.   

However, larger project such as moving furniture, office equipment, bulky material, or if the project will exceed 30 minutes it must be scheduled executed after 6:00 pm or on a weekend. 

Please note that if you have chosen to use your employees to perform a delivery, relocation, move, or other projects at Overlook III they will viewed as a vendor and subject to follow the same rule and regulations as an outside contractor

All tenants are required to fill out an Authorization Activity Report on all activity taking place for any project that will require access outside of your leased space ( including  but not limited to movers, telecommunication technicians, and contractors)  submit it to our office and please be as detailed as possible regarding what is being delivered, removed, or relocated.   

The Authorization Activity Report should be completed as far in advance as possible and should include the proposed date, name of contractor, any on site tenant contact who will remain on site during this project, the on- site tenant’s access card number, estimate time to begin the project, and any details associated with this project. This paperwork should be on file at least 72 hours before a project or move. If there are any special requirements in connection with the project, they must be listed on this document.   

  • No items can be deliveries or removed through the lobby.
  • Your vendor / employee should be advised that a pallet jack cannot be brought into the building.
  • If you have a delivery on a pallet jack, it will need to be broken down on the loading dock. 

 

   Please encourage your delivery personnel to abide by the following rules: 

1.      Bay areas are available on first come, first serve basis.  Delivery vehicles should not occupy the bays for extended periods of time (15 - 30 minutes maximum). 

2.       Courier parking spaces are provided adjacent to the loading dock.  Courier vehicles must not use loading dock bays for parking.

3.       Freight elevators must be used for deliveries made via the loading dock.  Carts and hand trucks are strictly prohibited in passenger elevators.

4.       Mail bags and large package deliveries should be made via the loading dock entrance and freight elevator.

5.       Delivery personnel must sign in at the loading dock entrance and present identification.

6.       Delivery vehicle engines must be turned off while parked at the loading dock.

 

  •   Your vendor / employee should be advised that a pallet jack cannot be brought into the building. If you have a delivery on a pallet jack, it will need to be broken down on the loading dock.
